Creating and sending quotes

Send professional quotes to clients and convert them to bookings with one click.

Creating a quote

  • Go to Quotes and click "New quote".
  • Client details — Select an existing client or enter new contact details.
  • Journey details — Add the pickup, drop-off, date, time, and vehicle class.
  • Pricing — Enter the fare manually or let KAIRO calculate it from your tariff rates. Add extras (Meet & Greet, waiting time, etc.).
  • Notes — Add any terms or special conditions.
  • Preview — Check how the quote looks before sending.
  • Sending the quote

    Click "Send" to email the quote to the client. The quote includes:

  • Your company branding and logo
  • Journey details and pricing
  • A link for the client to accept online
  • Your payment terms
  • Quote statuses

  • Draft — Not yet sent
  • Sent — Emailed to the client
  • Accepted — Client accepted (auto-creates a booking)
  • Rejected — Client declined
  • Expired — Quote validity period passed
  • Tips

  • Set a default validity period in Settings (e.g., 7 days).
  • Duplicate quotes for similar journeys to save time.
  • Track quote conversion rate in Analytics.
